Sound familiar?

The jobs you lose are the calls you miss.

The phone goes while your hands are wet, under a sink, up a ladder, in a loft.

A customer with water through the ceiling rings three of you. Whoever answers gets the job.

You ring back at six and get voicemail. They booked someone at two.

The leads companies ring more than the customers do.

34%of UK tradespeople said they had lost work because they didn't answer the phone
85%of callers who reach a voicemail never ring back, up to
90 secfrom the phone ringing to a job booked and the customer texted, in the example call below
£99a month, with the quotes, invoices, chasing and diary included

The first two figures are as reported from a Fix Radio survey of over 220 UK tradespeople and from Moneypenny's research; neither is ours. The third is the example call on this page, timed.

What it does

What an AI receptionist does on a call, as a tradesman needs it done

Not a message-taking service. It takes the job.

1 · Answers

It answers in your business's name

The calls you can't get to divert to Adminmate's answering number. It picks up as your assistant, with your business name, every time the phone rings. If a caller asks whether they're talking to a person, it tells them the truth.

On the call
Hello, thanks for calling DW Plumbing, I'm Dean's assistant, how can I help?
2 · Works it out

It works out what the job is, and how urgent

Water through a kitchen ceiling gets the stopcock question before anything else. A quote for a bathroom next spring gets a different set of questions entirely. You find out what the job is before you ring back, so you're not playing phone tag to learn it's a tap washer.

On the call
That sounds like one to look at today. Can you get to your stopcock and turn the water off?
3 · Emergencies

Emergencies get the safety words first

A gas smell, a flood, a live wire: the caller is told what to do straight away, and you're told at once in the hours you cover emergencies, or first thing in the morning outside them. A genuine emergency is never booked in as an ordinary job and never sits waiting for a tap.

You're told at once in the hours you cover emergencies.
4 · Books

It books into hours you've opened

You open the hours you'll take work in. The assistant offers the caller a slot from them, and only from them, and the job goes in your diary with the name, the address and what's wrong. Your Tuesday afternoon stays yours if you haven't opened it.

Dean can be with you between 2 and 4 this afternoon. Shall I put you in?
5 · Confirms

It texts the customer to confirm

As the call ends, the customer gets a text in your business's name with the time and what to expect. It lands on their phone before you've heard the job exists. If they have a question, they reply to that text and you see it on the job.

6 · Screens

It deals with the people selling you leads

The sales calls get dealt with, and they never count towards your fair use. You don't hear about them and you don't pay for them. They show up on your calls list if you ever want to check what was said.

Hear it answer

A customer rings while you're under a sink.

This is the intake Adminmate runs: it answers in your business's name, works out what the job is and how urgent it is, and books it. Nothing here is dressed up.

What it never does

Nothing with a price on it goes out without your yes.

  • It never quotes a price. It takes the job and the price waits for you.
  • It never puts a call through to you mid-call. It takes the job and texts you, so a caller never hears you fumbling for the phone on a roof.
  • It never pretends to be a person. Ask it, and it says what it is.
  • It never books outside the hours you've opened.
  • It never books a genuine emergency as an ordinary job, and never makes one wait for your sign-off on the safety words.
  • It never answers on a number that's yours. Calls divert to Adminmate's answering number; your own number stays exactly as it is, and the answering number is released when you leave.
Your trade

Hear it answer as your trade

Every trade's calls are different. A plumber's 7am is a flood; a decorator's is a quote for the spring. Each trade page has its own call, written out.

Questions

Questions tradesmen ask about an AI receptionist

Will it sound like a robot?

It sounds like a calm assistant who knows your trade, and it says so if asked. Read the call on this page: that is the script it runs, not a mock-up. We don't print a demo number that rings out; book the demo and you'll hear it on a real call.

What happens to my own number?

Nothing. You keep it. You set your phone to divert the calls you don't answer to Adminmate's answering number, which is Adminmate's, not yours. Stop diverting and it's as it was. Leave, and the answering number is released.

Does it answer at night?

It answers whenever the phone rings, including 2am. What happens next is your rule: a genuine emergency in the hours you cover is sent to you by text at once, and anything that can wait is taken as a message and is waiting for you in the app in the morning.

Can it give a customer a price?

No. Anything with a price on it waits for your yes. It takes the job, tells you what it is, and the quote is yours to build from your own prices and send with a tap.

Can it put the call through to me?

No, by design. It takes the job and texts you, so you're never put on the spot halfway up a ladder. Everything the caller said is on the job in the app, and you ring them back when you're ready, knowing what it's about.

Is it included, or extra?

Call answering comes with Solo and Team. From £99 a month, the price you see is the whole price, and the quotes, invoices, chasing and diary are in the same app. Cancel any time.

Is my customers' data safe?

Stored in London, encrypted, never sold, and yours to export or delete whenever you want. Adminmate is a trading name of Mitigate It Limited, a UK company; the privacy notice is linked at the foot of every page.
