The companies that help us run Adminmate, and where your data goes.
Plain English first
This section explains, in plain English, who helps us run Adminmate. The register below is the current list.
Who they are
We use a small number of specialist companies to run Adminmate: hosting and our database, which are in London; calls, texts and email; sign-in; payments; and AI. Each is held to data protection terms at least as strong as ours.
Some process data outside the UK, including in the United States. Where the law requires safeguards for that, we use them.
When the list changes
We email you at least 14 days before we add or replace one, and this page changes with it.
The register
Version 2026-09-30. In force from 30 September 2026.
The companies we use
Retell: Voice, telephony and AI orchestration. Voice processing; provider audio retention currently 30 days.
Twilio: SMS, WhatsApp and telephony. Enabled where used by the service.
Resend: Email. Enabled for service email.
Anthropic: Text AI. Direct Messages API use.
OpenAI: Voice model via Retell. Used in the Retell voice processing chain.
ElevenLabs: Voice generation used through Retell. Used in the Retell voice processing chain; no direct Adminmate contract.
Clerk: Sign in and authentication. Account sign in.
TrueLayer: Open banking connection, read only. Not enabled for paying customers.
Vercel: Hosting/deployment and file storage (Vercel Blob). Primary application hosting; storage of job photos, receipts, accepted quote copies and call recordings until their retention date.
Neon: Database. Primary database infrastructure in London.
Stripe: Subscription/payment services. Subscription payments and refunds.
Provero: Telephone preference screening (TPS and CTPS). Checks a prospect's number before a first call; processed in the UK and EU; retained 30 days.
Not currently used
Deepgram. Function: Voice note transcription. Position: Not currently used by Adminmate at launch. If voice note functionality is introduced, this register and the Privacy Notice are updated before the functionality is enabled where required.
Connected customer services (not Adminmate subprocessors)
These are services the customer has its own account with and chooses to connect. They operate under their own terms, and Adminmate sends information to them on the customer's instruction (DPA clause 2B(d)).
Xero. Function: Accounting software. When used: Only where the customer connects its own account; entries are posted only on the customer's approval

Where your data is processed
Your data is processed in the UK and in other countries by us and by the service providers we use to operate Adminmate. Our primary application and database infrastructure is located in London. Some service providers process data outside the UK, including in the United States. Where UK data protection law requires safeguards for international transfers, we use the applicable transfer mechanism and safeguards described in our Subprocessors and International Transfers information.
